1.15.03 Document Submission

Policy

Documents required for imaging must be submitted to Motor Vehicles on a weekly basis.  Documents for the current week, as well as the previous week (a total of 2 weeks worth) must be held in the registry agent office to allow for corrections, follow-ups, backouts, etc.

Note:
A registry agent must not enclose any documents that are not listed on the MOVES Microfilm Document Display screen print when submitting their documents for imaging.

A registry agent must:

  • Complete the following section/fields on the Document/Batch Circulation envelope:
    • Place a check mark in the imaging box and complete the "from / to" dates.
    • Record the office code (P site number).
    • Record the date the documents were processed.
    • Record your name/place of office.
    • Record in the comment section the MOVES user ID used to reconcile the enclosed documents.
  • Not overfill the Document/Batch Circulation envelope.
    • When more than one Document/Batch Circulation envelope is required, a registry agent must split the documents requiring imaging between the envelopes.
