Policy

A work bundle is only used to process vehicle transactions for:

• Permanent fleets.
• Prorate.
• 10 or more vehicles.

Note:
Once a vehicle is included in a work bundle, it is locked and cannot be worked on until either: 
      •    The vehicle is removed (backed out) from the bundle.
           or
      •    The work bundle is paid out in full.
Registry agents can look up the bundle under Finance Transaction Display to find which agent is processing the bundle. The agent may contact the other registry agent directly to have the vehicle removed from the bundle.

Bundle Stages

• OPEN stage means bundle transactions are currently being worked on.
  • Additions or deletions can be made at this time.
• CLOSED stage means bundle transactions are complete and the registry agent is awaiting payment in MOVES.
  • All inventory, microfilm and supporting documents must be held in the office until full payment is received.
    • Once payment in full has been received, microfilm and supporting documents must be sent for imaging; see Microfilm – Section 1.15.
• MEMBER stage means that payment has been received in full and has been processed in MOVES.
  • The work bundle must be in a “CLOSED” status to pay out the transaction(s).
  • Inventory (if applicable) is provided to the client only when full payment is received.

Note:
All work bundles must be paid in full or backed out for the fiscal year end (March 31).

Payment

Payments totalling $10,000 or more must be in the form of:

• Cash.
• Certified cheque.
• Money order/bank drafts or bank wire transfer (electronic bank-to-bank transfer).

Note:
Multiple cheques that total $10,000 or more for the same transaction must be certified.

Prorate and permanent fleet renewal bundles must be completed (including receiving payment) within 30 calendar days from the date they are opened. Payment of all other working bundles must be received within 10 working days of opening a work bundle.

Regardless of the type of work bundle, payment must be received on or before the vehicle registrations expire.
